Administrative Record Technician-Public Works
Description of the Job:
The position of Administrative Record Technician involves responsibility for a variety of clerical tasks, which must be performed with little supervision. The Administrative Record Technician will be the main contact person for the citizens and will serve as receptionist for the Transportation, Environmental Divisions and Parks Division under the Public Works
Department. This individual will exercise discretion and independent judgment with regard to the handling and referral of questions and complaints; relay messages and handle requests for information. This position will work closely with the Transportation Supervisor, Environmental Services Supervisor and Parks Supervisor, as well as the Public Works Director in regulatory compliance and reporting, maintaining financial and management records, preparation of public notices and news releases. This position is directly supervised by the Director of Public Works and Deputy Director of Public Works.
Essential Functions of the Job:
Receive all in-coming calls, screen for proper referral and handle routine requests or complaints, insuring the appropriate personnel has handled the assignment; Provide administrative and clerical support to the divisions of Transportation, Environmental
Services and Parks;
Provide clerical support in the preparation & processing of correspondence, memos, budget forms, reports, agenda statements, news releases, bid documents, contract agreements, and work orders;
Maintain receipts, process invoices and balance petty cash;
Maintain files and record system for vehicles, equipment, Material Safety Data sheets, and Correspondence;
Operate a mobile radio to contact field crews;
Prepare written reports on man-hours,state and federal reports, One & Six Year Plan;
Assist with special projects when assigned;
Assist with research and preparation of annual budget, including Capital Improvements;
Provide information and assistance to City personnel and to the public;
Prepare bills for service/materials provided by the Transportation, Environmental Services, and
Parks Division;
Maintain, monitor and create reports for GPS inventory and activity for each division;
Maintain office supply inventory;
Assist with related duties in cooperation with any division or department as assigned;
Regular attendance and punctuality required.
Knowledge, Skills, and Abilities:
Ability to become knowledgeable of operations, policies, and regulations of all divisions of
Public Works;
Ability to handle contact from the public on the telephone or in person in a courteous and
efficient manner;
Ability to work as a team or independently with minimum supervision;
Ability to deal in a positive manner with the general public, City employees, and co-workers;
Ability to communicate effectively both orally and in writing;
Ability to organize and prioritize multiple tasks and meet deadlines;
Ability to lift up to 20 lbs and to perform repetitive motion tasks, sit, talk, hear, reach with
hands and arms and to use fingers to handle objects. Occasionally required to stand, walk,
kneel, crouch, push or pull;
Ability to operate general office equipment, such as photocopier, scanner, voice mail systems
and personal computers.
Minimum Qualifications:
Education equivalent to high school diploma or equivalent;
Valid Driver's License;
Strong knowledge of and skill in the use of modern office practices, including the use of
personal computer (PC), experience with Microsoft Word, Excel, and database
Management;
Ability to communicate with citizens and City staff effectively both orally and in writing
in a positive, courteous and professional manner;
Must demonstrate good team player skills and work well with others.
Preferred Qualifications:
Completion of business and secretarial courses, including computer courses at a post high school institution.
