Recreation Program Coordinator
Responsible for professional duties in planning, developing, coordinating, implementing, and supervising a variety of recreation programs, leisure activities, and special events for the City, managing recreational facilities such as the Westminster Family Fitness Center and the municipal pool complex, ensuring a safe, clean, and well-ordered environment and compliance with all local state and federal laws. This position performs a variety of complex, highly responsible programmatic functions including forecasting and preparing program budgets, supervising personnel. $21.11/hour; 40 hrs/wk. ESSENTIAL JOB FUNCTIONS
- Develops, organizes, and evaluates special events, festivals, and parades, implements program logistics, schedules event staff, and coordinates with police and streets crew.
- Works with vendors and participants to process applications and contracts, selects vendors from the application pool, and assigns space.
- Maintains permits, licenses, and agreements, including permits for parades, highways, races, Health Department, etc., and the liquor license for the City.
- Purchases and catalogs supplies and equipment and assesses additional program equipment needs.
- Hires, trains, supervises schedules, evaluates part-time and seasonal personnel, and assigns work as necessary.
- Coordinates and supervises staff on weeknights, weekends, and holidays as needed.
- Schedules and conducts trainings and staff orientation for part-time and seasonal personnel.
- Coordinates volunteer requests from the community and recruits, trains, and supervises volunteers and service-learning hour students for events and other special projects.
- Provides quality customer service via phone inquiries, walk-ins, and emails.
- Develops marketing plan for programs to include press releases, timelines, flyers, banners, and calendars.
- Assist with public relations duties relating to events, programs, and facilities, such as developing content for flyers, press releases, brochures, email blasts, and website and Facebook posts.
- Works with community-based organizations, school authorities, civic groups, and individuals as appropriate to coordinate events.
- Conducts and attends a variety of training seminars, staff meetings, clinics, and community meetings.
- Recommends, forecasts, finalizes program budgets and expenditures, and generates revenue and expenditure reports after the event.
- Monitors expenditures and part-time seasonal payroll by established procedures.
- Provides clerical support when necessary for program registration, answering of telephones, email communication, other correspondence, and public inquiries.
- Produces program evaluation reports and recommendations.
- Assists with ordering supplies and equipment for facilities, programs, and special events, maintains an inventory of supplies and distributes as necessary.
- Makes safety checks on facilities to eliminate hazards to ensure complete safety of patrons.
- Maintains and monitors compliance with policies and procedures as directed by the City and Recreation Office.
- Keeps relevant parties informed of unusual or detrimental conditions/situations.
- Cultivates and maintains positive relationships with City staff and the public.
- Monitors national and regional trends by attending workshops, educational programs, and/or reading specialized literature.
- Opens and closes recreation facilities and performs emergency custodial/maintenance work (set up tables, equipment chairs, etc.) as needed.
- Works in a constant state of alertness and in a safe manner.
- Performs other duties as assigned.
QUALIFICATIONS
Education and Experience:
- Bachelor’s degree in Recreation and Parks or a related field preferred but not required; or
- High School diploma or General Equivalency Diploma GED; plus
- Four (4) years of related experience;
- Experience teaching or instructing recreation programs and organizing, training, and managing special events and programs preferred; or
- Equivalent combination of education, training, and related experience.
Licenses or Certifications:
- Current certification in First Aid and cardio-pulmonary resuscitation (CPR) Certification;
- Possession of or ability to obtain valid Class C Driver’s License;
- Certified Parks and Recreation Professional (CPRP), Certified Pool Operator, and/or Certified Playground Safety Inspector preferred.

- Ability to act as a representative of the City to the public.
- Ability to establish and maintain effective working relationships with other staff, successfully communicate with other staff members and members of the public and work as a team.
- Ability to organize and implement various events and functions, including working with a diverse group of participants, City employees, and other agencies/organizations.
- Ability to establish priorities and organize workload effectively and efficiently.
- Knowledge of Microsoft Office Suite, the internet, e-mailing systems, and other relevant software.
- Ability to maintain a pleasant and productive working atmosphere.
- Ability to respond appropriately in emergencies and complete assignments under pressure.
- Knowledge of the City’s policies and procedures.
- Ability to keep all relevant parties informed of significant issues and recommend changes as appropriate.
PHYSICAL DEMANDS
The work is light work which requires exerting up to 20 pounds of force occasionally and/or up-to 10 pounds of force to move objects. Additionally, the following physical abilities are required: balancing, climbing, crawling, crouching, feeling, fingering, grasping, handling, hearing, kneeling, lifting, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, standing, stooping, talking, visual acuity, and walking.
WORK ENVIRONMENT
The work involves minor risks or discomforts which require special safety precautions, e.g., working around moving parts, heavy equipment, etc., avoidance of trips and falls, and observance of fire and building safety regulations.
