The Federal Public Defender for the District of Nebraska is seeking a full-time Administrative Assistant in our Omaha office. The Administrative Assistant assists the Defender, Administrative Officer, Criminal Justice Panel Administrator and Computer Systems Administrator in a variety of matters regarding operations, finance and procurement, case/data management, and human resources.

POSITION DUTIES & RESPONSIBILITIES

Administrative Assistant duties include but are not limited to:

• Assist Administrative Officer, CJA Panel Administrator, and Computer Systems Administrator regarding general operations, financial/data management, human resources, and policy;

• Assist Administrative Officer preparing/reviewing purchase orders/payments in the Judiciary Integrated Financial Management System (JIFMS); advise of anticipated office furniture, supplies, and equipment needs; updating of inventory and maintenance of equipment;

• Respond to administrative inquiries from staff and outside organizations regarding purchasing, human resources, property, facilities projects, etcetera;

• Assist CJA Panel Administrator with voucher processing and case appointments;

• Assist Computer Systems Administrator with case data management;

• Provide backup telephone answering when needed.

• Perform all other duties as assigned.

QUALIFICATIONS

Candidates must have a high diploma or equivalent, at least three years of general experience, and at least two years of progressively responsible administrative experience. Some higher education may be substituted for experience. Candidates must be highly motivated self-starters, detail and policy oriented, able to multitask, have a demonstrated history of dependability, able to handle confidential matters with discretion and exhibit professional conduct at all times. Exceptional organizational, written and oral communication skills are required. Candidate should possess strong computer skills including Microsoft Word and Excel, and have experience with accounting, purchasing, and general office management. Contracting officer certification and procurement experience is preferred, but not required. Law office and federal experience is a plus. The Administrative Assistant works closely with all staff to fulfill the mission of a fast-paced legal office. Duties and responsibilities will progress as the needs of the office change.
