JOB SUMMARY

The Contract and Custom Program Assistant (Student Services Program Assistant 2) will assist Experiential Global Learning (EGL) and Global Partnerships and Outreach (GPO) in the administration and delivery of UConn customized programs and assist with the execution of contracts and agreements. The incumbent is expected to work simultaneously on multiple programs, requiring the ability to multitask with great attention to detail.

DUTIES AND RESPONSIBILITIES
  • Support the Custom Programs Specialist with custom program processes including sourcing, contract negotiation, and purchasing.
  • Communicate with vendors, faculty, and students regarding custom program details.
  • Create budgets for all custom EGL programs.
  • Maintain an understanding of University policies pertaining to EGL. Responds to inquiries from faculty, and others regarding program policies, procedures, and requirements, making referrals as appropriate.
  • Coordinate the human resources functions of EGL, including payroll, special payroll authorizations, student labor, and staff onboarding.
  • Coordinate the visa process for designated EGL customized programs by serving as the liaison between EGL and consulates, creating visa instructions templates, and providing guidance to students applying for the visa.
  • Draft partnership agreements and service contracts with global scope in consultation with the Global Partnerships and Outreach Coordinator.
  • Assist in maintaining a database of partner relationships. Reviews and evaluates database forms, fields, and user interface for efficiency and reporting needs, and works with UITS to update modules as needed for effective data collection and record maintenance.
  • Other duties as assigned.
MINIMUM QUALIFICATIONS
  • Bachelor's degree in a related field.
  • Two to three years of related experience.
  • Ability to use the Microsoft Office and Adobe Suites.
  • Excellent oral and written communication skills.
  • Excellent intercultural communication skills.
  • Ability to handle multiple projects simultaneously and efficiently.
  • Ability to prioritize workload to complete tasks successfully and in a timely and efficient manner.
  • Ability to perform and coordinate administrative functions.
PREFERRED QUALIFICATIONS
  • Previous experience working in a higher education setting.
  • Experience working in study abroad and international education.
  • Experience working on agreements and contracts.

This is a full-time, permanent position.
